Procedure for Submitting Complaints and Requests within the ERASMUS+ Programme
1. Submission of a Case or Request
A student may lodge a complaint or submit a request in accordance with the internal legal regulations of the University of Applied Sciences in Racibórz (ANS in Racibórz) by addressing it to:
- the relevant staff member of the Student Services Department of ANS in Racibórz,
- the Departamental Coordinator for Erasmus+ Programme,
- the Institutional Coordinator for Erasmus+ Programme directly,
- in matters concerning the above-mentioned persons, the submission shall be addressed to the Vice-Rector for Organizational Affairs of ANS in Racibórz.
2. Form of Submission
A complaint or request may be submitted:
- in writing (by e-mail or in the form of a letter),
- orally (to the appropriate person specified in point 1).
3. Consideration of the Case
The Departamental Coordinator for Erasmus+ Programme, informing the Institutional Coordinator, shall analyze the submission and undertake explanatory measures.
If necessary, the student submitting the complaint or request may be asked to provide additional explanations, documents, or evidence relevant to the case.
The outcome of the complaint or request shall be communicated to the student in writing. Upon the student’s request, a copy of the letter may also be sent to the student’s e-mail address.
The time limit for consideration of the case shall be 14 calendar days. In cases of gross violation of legal provisions, the time limit may be extended to 30 calendar days.
4. Appeal
A student who is not satisfied with the resolution of their case may submit an appeal to the Vice-Rector for Organizational Affairs of ANS in Racibórz.
5. Monitoring
All complaints and requests are registered in the University Register and are subject to oversight by the authorities of ANS in Racibórz.
6. Confidentiality
Complaints and requests are considered confidentially by the persons designated in point 1, with due regard for the rights of the student, and in accordance with procedures aimed at preventing mobbing, discrimination, and sexual harassment, as well as at mitigating risks related to conflicts. Consideration of submissions shall be conducted in line with the Code of Ethics for Academic Teachers of ANS in Racibórz, the Code of Ethics for Students of ANS in Racibórz, and the Code of Ethics for Non-Academic Staff of ANS in Racibórz.
